Printer Offline in Windows 11? Check Connection and Print Queue

The short answer

First check the printer’s own screen and its connection to the PC. In Windows 11, open Settings → Bluetooth & devices → Printers & scanners and select the printer you mean to use. Then check its queue and run the printer troubleshooter; an Offline label alone does not prove the printer is broken.

01Check the printer before changing Windows

Look for a paper jam, open cover, empty paper tray, or ink warning on the printer itself. Deal with that message first. Turn the printer off, unplug it for 30 seconds, then reconnect the power and turn it on. For USB printing, check the cable at both ends. For Wi-Fi printing, check the network name on the printer’s screen or network report and compare it with the PC’s connection. Follow the model’s manual if you cannot find its network menu. A printer being powered on does not tell you whether the PC can reach it.

02Select the right printer and compare another device

Open Settings → Bluetooth & devices → Printers & scanners. Match the printer name and model with the device in front of you, then choose that entry in the app’s Print dialog. An old copy of a printer entry can make troubleshooting confusing. Setting a default printer only changes the usual destination; it does not repair a connection. If another device can print to the same printer, focus next on this PC’s printer entry, queue, and connection. If no device can print, return to the printer’s own status and network. These comparisons narrow the search; neither result proves which component has failed.

03Check pending jobs and restart the print service

Section link

Select the printer in Printers & scanners and open Open print queue. Review the jobs before canceling them. If they are stuck, the queue’s ellipsis menu has Cancel all. Canceling removes queued print requests; keep the original documents so you can send them again. If the queue remains stuck, search Windows for Services, open it, find Print Spooler, right-click it, and select Restart. This restarts the service that manages print jobs and can affect other printers on the PC. Save your work before restarting the PC if needed. Ask an administrator if permissions block the change.

04Run the troubleshooter and reconnect only when needed

On Windows 11, Microsoft provides a printer troubleshooter in the Get Help app. Use the link in Microsoft’s offline-printer guide in the sources. Run it and test a short document afterward. If you use a shared office printer, check with its administrator before removing its configuration. If the connection and queue checks do not help, record the printer’s name and setup details. In Printers & scanners, select the affected printer → Remove. With the printer powered on and connected, select Add device and add the matching entry. If Windows cannot find it, use the official installation guide’s manual-add instructions rather than guessing a network address.

05Use the test result to choose the next step

Print a test page from the printer’s Windows settings, then try the original app. If the test page prints but one app still fails, note the app and document type before changing the printer again. If every test fails, check Windows Update and the manufacturer’s support page for the exact model and Windows version. On an ARM-based PC, a manufacturer’s installer can have compatibility problems; Microsoft recommends the Windows Add device path, unless the manufacturer gives different guidance. For support, collect the model, Windows version, USB or network connection, exact error, queue behavior, and whether another device can print. Keep security settings in place while investigating; an Offline message is not a reason to disable the firewall.
