OneDrive Not Syncing on Windows 11? Compare the Web and File Explorer

The short answer

Open OneDrive in your browser and File Explorer using the same account. If your latest edit is only on the PC, check the OneDrive cloud icon for an upload issue. If the file is only on the web, check whether its folder is selected for sync on that PC.

01Check which account and folder you opened

Section link

Select the OneDrive cloud icon near the Windows clock and check the account in Settings. If you have both personal and work accounts, compare the matching OneDrive folder with the same account on the web. For a folder visible online but missing in File Explorer, open OneDrive Settings → Account → Choose folders and select it if available. A blue cloud beside a file in File Explorer means the file is available online and downloads when you open it with an internet connection.

02Read the status on the taskbar

If the icon is missing, search for OneDrive in Start and open the desktop app. A gray cloud with a line through it can mean you need to sign in or finish setup. If syncing is paused, select Resume syncing. If you see a red cross or warning, open the activity panel to read the message. If your cloud storage is full, freeing space only on the PC will leave the cloud quota unchanged.

03If an edit is stuck on the PC

Save and close the file. If OneDrive shows Processing changes after a large upload, see whether the queue is moving. Save a small new test document with a distinct name in the same folder and check whether it appears online. If the test file syncs but the original still fails, read the error for that file and check its name or whether another app has it open.

04Keep a copy of edits that have not uploaded

Section link

If the version online is older, save a separate copy of your latest work outside the OneDrive folder before changing the sync setup. Deleting an item in a synced folder can also delete it on the web. If the same account is in use and syncing still fails across folders, give Microsoft Support or your work or school IT team the exact status message and the result of the test upload.
