What to Do When Gmail Storage is Full

Learn how to resolve Gmail storage limits, distinguish between device and cloud storage, and free up space across Google services.

A conceptual illustration showing the shared storage relationship between Gmail, Google Drive, and Google Photos.
The short answer

Gmail storage is part of a shared 15 GB quota used by Google Drive, Gmail, and Google Photos. When this limit is reached, you cannot send or receive emails, and files cannot be uploaded to Drive or backed up to Photos. To resolve this, you must either delete unnecessary data (including emptying Trash and Spam folders) or purchase additional storage via Google One.

01Understanding Google Storage

It is important to distinguish between your phone's local storage and your Google Account storage. Your device storage refers to the physical space on your hardware, while Google storage is a cloud-based quota shared across three main services: Gmail (including attachments), Google Drive, and Google Photos. Additionally, Android device backups and WhatsApp backups on Android count toward this shared limit.

02Immediate Solutions to Recover Space

If your account is full and you need to receive emails immediately, try these quick steps: 1. Empty Trash and Spam: Items in these folders still count toward your quota until permanently deleted. 2. Delete Large Emails: Search for emails with large attachments. In the Gmail search bar, type 'has:attachment larger:10M' to find emails larger than 10 MB. 3. Clear Drive Trash: Permanently delete files in the Google Drive trash bin. Note: After deleting a large volume of files, it may take 48 to 72 hours for the storage indicator to update.

03Long-term Storage Management

To prevent the storage from filling up again, use these targeted cleanup methods: - Google Drive: Click 'Storage' on the left-hand menu to list files from largest to smallest for easier deletion. - Manage Backups: Check the 'Backups' section in your storage settings to remove outdated device backups. - WhatsApp Settings: On Android, change backup settings within the WhatsApp app before deleting backups from Google to prevent them from automatically reappearing. - Google One: If you cannot delete enough files, you can subscribe to a Google One plan to increase your total storage capacity.

04Risks of Remaining Over Quota

Staying over your storage limit has several critical impacts: - Gmail: You will be unable to send or receive emails; messages sent to you will be returned to the sender. - Drive & Photos: You cannot upload new files, create new Google Docs/Sheets/Slides, or back up new photos and videos. - Data Deletion: If you remain over your storage quota for 2 years or longer, Google may delete content across Gmail, Drive, and Photos. Google will provide notice via email at least 3 months before any deletion occurs.
