Laptop Storage Full? What to Clean Up and When an External SSD Helps

Free up space on Windows 11 or Mac, decide which personal files to keep elsewhere, and copy them safely before considering an external SSD.

The short answer

Start by checking what fills the laptop’s internal drive, then review the built-in cleanup options. If photos, videos and finished work still take up space you need, an external drive can hold those files. Copy and check them first, and keep another backup before deleting originals. A full OneDrive or iCloud account is a separate problem: an external SSD does not increase your cloud storage allowance.

01Check which storage is full

On Windows 11, open Settings > System > Storage to see what is using the internal drive. On macOS Ventura 13 or later, choose Apple menu > System Settings > General > Storage. Note the largest categories and available space before changing anything. A warning about OneDrive or iCloud storage refers to that account’s allowance; check it separately from the laptop’s drive.

02On Windows 11, review cleanup before removing files

Open Settings > System > Storage > Cleanup recommendations. Review the suggested temporary files, large or unused files, and unused apps. Check the selections and explanations before confirming removal, especially anything involving Downloads or the Recycle Bin. Keep installers and documents you still need. If you enable Storage Sense for recurring cleanup, review its settings first rather than accepting automatic deletion rules without checking them.

03On Mac, start with files and apps you recognise

In Storage settings, review categories such as Applications and Documents. Look through Downloads for old installers and copies you no longer need; uninstall unused apps using the appropriate removal method. Review the Trash before emptying it: moving a file to the Trash alone does not reclaim its space. Do not try to clear the System Data category by deleting unfamiliar Library or system folders. The category is a broad accounting label, not a folder of disposable files.

04Choose ordinary personal files to store elsewhere

Good starting points are exported photos, videos, completed documents and finished project exports that you do not need on the laptop every day. Keep current working files locally if you need them when the drive is disconnected. Do not drag Windows, Program Files, Applications or other system and app folders onto an SSD to make space. App-managed collections, such as a Photos or iMovie library, need the app’s own relocation instructions; treat them separately from ordinary files.

05Copy, check and back up before removing originals

Connect a drive with enough free space and create a clearly named destination folder. Copy a small folder first, rather than cutting or moving it, and wait for the copy to finish. Open the copied documents, inspect photos and play copied videos to check their contents. These spot checks can reveal obvious problems but are not a guarantee that every file is intact. For important files, keep an additional copy on another device or an appropriate backup service before deleting the laptop originals. If the SSD then holds the only copy, it is storage, not a separate backup. Review any deletion carefully, then check the laptop’s available space again.

06Treat cloud-synced files differently

For fully synced OneDrive files you want to keep in the cloud, Files On-Demand offers Free up space instead of Delete. Confirm the cloud copy is available first; online-only files need an internet connection to download when you open them. Deleting a synced file can remove it from OneDrive on other devices too. iCloud Drive also syncs deletions across devices using iCloud Drive with the same Apple Account. To make a separate archive, use Copy and Paste into the destination instead of assuming that dragging a file out of iCloud leaves the cloud original in place.

07Buy extra storage only if the files you need to keep still do not fit

If cleanup solves the problem, you can stop here. If the remaining large files are ones you must keep, an existing suitable external drive may already be enough. When choosing an SSD, check the capacity you actually need, supported operating systems, connection requirements, seller and warranty terms. The Samsung drive linked below uses USB 3.2 Gen 2; advertised maximum transfer rates depend on a compatible host and cable and are not guaranteed in your setup. Connecting a drive does not automatically enlarge the laptop’s internal drive or move its files.

08If the drive fills up again

Return to the same Storage view and compare the categories with your starting point. New downloads, media and project outputs may need a more regular filing routine. If an unexpected category keeps growing or you cannot identify the files safely, use the linked Microsoft or Apple guidance before trying more aggressive cleanup. LumoTopic has not tested the linked SSD hardware or measured transfer speeds for this guide.
