Outlook Search Not Working on Windows? Find Missing Emails

The short answer

Search for an email you can already see in the folder, using a distinctive word from its subject. Clear any filters and check that you are searching the right mailbox. If your account has webmail, search for the same message there before changing any indexing settings.

01Check where Outlook is searching

Select the account and folder that should contain the message. Clear leftover sender, date, or unread filters. If you do not know the folder, widen the search to the mailbox or all folders for that account. Check Deleted Items or Archive directly if that is where you expect the message.

02Compare with Outlook on the web

Section link

If your mailbox is available in Outlook on the web, open it in a browser and run the same search there. If the message appears on the web, you have a way to retrieve it while checking the desktop app. If neither search finds it, check the expected folder directly and verify the account. A local archive or Outlook data file may not be available on the web.

03New Outlook: search the correct account

Section link

If the app has Settings on the ribbon, Microsoft’s new Outlook instructions apply. Open Settings → General → Search to check the search scope. For older mail, try a date or sender filter; an overly broad query may hide older results. If mail in Deleted Items should be included, turn on Include deleted items in that same settings panel and save.

04Classic Outlook: check indexing before rebuilding

Section link

In classic Outlook, select the search box and open Search Tools → Indexing Status on the ribbon. If there are items left to index and the count is falling, let it finish and repeat your test. If the count stalls or familiar messages still do not appear, follow Microsoft’s classic Outlook instructions for checking indexing locations. Rebuild the search catalog only after those checks; results may remain incomplete while it rebuilds.
